We are going to be writing a standard introduction email which we will be sending out to companies on a regular basis to try to get them to use us as a supplier for our products. This will be a targeted campaign rather than a mass spamming!

Question is, we want to get it right so we don't waste our or their time. So how do you capture a potential customer with an email? Perhaps keep it short? Use some bullet points? Tell them how we can help them?

We get so many ourselves but most go in the bin as they don't appeal, so we want to maximise our introductions.

Any tips from experience or professional letter writers?

We were thinking of personal emails rather than bulk emails, which we already do with an opt-in newsletter. What we're thinking about is targeting businesses rather than the general public. More like a company introduction letter so they know what we are about and why they need us!

As above make sure it is extremely targetted if you want a good response. I find I get good responses as it is me personally offering a product/service even when (dare I say it) I send unsolicited emails.

I would really really focus on the benefits of your service, any good copywriter will tell you to write from the perspective of your prospect. Saying who you are, where you are, how long you have been in business are largely irrelevant.

Just as an update, we decided to get it right to make the most conversions so have used a professional copywriter to make it read as best it can. It didn't cost too much but I'm sure it will pay for itself over time.

We're also about to do this some time soon. Never done it before - so all this advice is very much appreciated. Thinking of sending out a few small paragraphs of news.
